Ovitas software implementation services ensure project success
You need an experienced partner to help you with your next document management project. A partner that uses standard implementation methodologies and the latest software to meet your business needs.
Our Implementation Approach
Every document management project is different. Our ELO-certified software implementation team uses IIBA business analysis techniques and PMI best practices to deliver the right document management solution to meet your business goals and objectives. You’ll always be in the know with Ovitas.
Many of our team members have document management industry experience. So we know how important it is to align business needs, goals and objectives with project deliverables, while balancing those with project constraints. Our team takes the time to understand the current state and desired state.
Gathering requirements is a key part of the business analysis phase in every document management project. When we meet with your stakeholders and project team, we use a variety of data-gathering techniques to elicit and analyze the requirements that will meet the business needs and project objectives.
During the design phase, we create your forms and workflows, set up your user groups, permissions and access rights, and create your document repository. If we’re integrating ELO with your ERP (or other) system, we test to ensure all data is flowing between the systems.
Have a PMO? Great, we can work within its guidelines, whether its Agile, Adaptive or Waterfall. No PMO or project team? No problem, we’ll bring our proven and transparent document management project methodologies to your team.
Additional implementation services
Unless you’re just starting your business, you have a lot of documents…somewhere. They can be paper documents that need scanning, information sitting in an old document management system, or files in SharePoint or on your network drive. We will help you determine what documents and records to migrate, and how and when to migrate them.
Document management best practices define several methods for migrating content into a new system, ranging from nothing to everything and the right answer is usually somewhere between these two extremes. Ovitas uses AIIM and ARMA best practices for its migration services.
You don’t want to keep multiple systems running, do you? If you have an older system, especially one no longer supported (Folio?), then you may need to convert your content rather than simply migrate it. Ovitas can transform your proprietary content into standard PDF/A or industry-standard format.
